Privacy Policy

This policy explains what SchoolSync collects, why we use it, how Google Calendar data is handled, and the choices available to families.

1. About this policy

This Privacy Policy applies to the SchoolSync website, family planning workspace, calendar tools, document-processing features, and related communications (collectively, the “Service”). In this policy, “SchoolSync,” “we,” “us,” and “our” refer to the operator of the Service.

2. Information we collect

Depending on how you use SchoolSync, we may collect:

  • Account information: name, email address, username, profile photo, authentication-provider identifier, account status, and security or session information.
  • Family workspace information: workspace names, member names and roles, invitations, family-person or child profile names and photos, assignments, preferences, time zone, and activity history.
  • Documents and calendar content: files, images, emails, calendar files, extracted text, event titles, dates, times, locations, notes, reminders, categories, and the edits or approvals you make.
  • Support and administration records: support-access sessions, reasons supplied for privileged changes, account and workspace actions, and security audit records.
  • Technical and product information: device or browser information made available through normal web requests, error and security logs, and privacy-preserving product analytics such as uploads completed, extraction outcomes, invitations accepted, and calendar-sync results. Product analytics use irreversible identity hashes for active-user and workspace counts and are not intended to expose individual family content.

3. How we use information

We use information to:

  • create and secure accounts and family workspaces;
  • process uploaded material and prepare events for your review;
  • provide shared calendars, assignments, reminders, and invitations;
  • sync events only when a user chooses to use a connected calendar;
  • identify duplicates and scheduling conflicts;
  • provide support, recover eligible data, and investigate misuse;
  • operate, measure, troubleshoot, and improve the Service; and
  • comply with legal obligations and protect users and the Service.

4. Google user data

Google sign-in and Google Calendar are separate. Continuing with Google gives SchoolSync your Google account name, email address, and profile information to authenticate you. Connecting Google Calendar is optional and may use a different Google account; that connection gives SchoolSync the names and identifiers of calendars in its calendar list and event information in calendars you choose to use. SchoolSync uses Calendar access to show available destinations, find matching events, and create, update, or delete SchoolSync-managed event copies at your direction.

SchoolSync stores limited Google synchronization metadata, such as the selected calendar identifier and name and the identifier linking a SchoolSync event to its Google Calendar copy. OAuth credentials are used by SchoolSync’s server-side session infrastructure to perform the actions you request. We do not use Google user data for advertising, sell it, or allow people to read it except when necessary to provide or secure the Service, comply with law, or act with your permission.

SchoolSync’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. You can revoke SchoolSync’s Google access at any time from SchoolSync Settings or your Google Account’s third-party connections page. Disconnecting in SchoolSync removes that SchoolSync account’s stored Calendar credential. Either action stops future Google Calendar actions for the affected connection but does not automatically remove events previously copied to Google Calendar or content retained in your SchoolSync family workspace.

5. Document and AI processing

SchoolSync extracts text from supported uploads and may send extracted text to an artificial-intelligence processing provider to identify possible calendar events. SchoolSync presents extracted events for review; it does not add them to your family or Google calendar until an authorized user approves or creates the event. Calendar files may be parsed directly without AI processing. Do not upload material you are not authorized to process or share.

6. When information is shared

We may share information only as needed with:

  • other members of a family workspace, according to their role and the workspace features you use;
  • service providers that support hosting, databases, private file storage, authentication, email delivery, document extraction, artificial-intelligence processing, security, and operations;
  • Google when you direct SchoolSync to authenticate or perform a Google Calendar action; and
  • authorities or other parties when reasonably necessary to comply with law, protect rights and safety, investigate misuse, or complete a business reorganization subject to appropriate safeguards.

We do not sell personal information and do not use family documents or Google user data for targeted advertising.

7. Retention and deletion

We keep information for as long as needed to provide the Service, maintain security and audit records, resolve disputes, and meet legal obligations. Some deleted accounts, documents, events, or workspaces may remain recoverable for a limited period before permanent deletion. A workspace intentionally placed into Platform Recovery may be retained longer so that an authorized Platform Administrator can restore, transfer, or permanently delete it. Permanent deletion may not immediately remove limited records from security logs or backups where retention is legally or operationally necessary.

8. Security

We use administrative and technical safeguards designed to protect information, including access controls, private storage, authenticated requests, session controls, and audit trails for sensitive actions. No online service can guarantee absolute security. Keep your credentials private and tell us promptly if you believe your account has been compromised.

9. Children’s information

SchoolSync is intended for use by parents, guardians, caregivers, and other authorized adults, not for direct use by children under 13. Adult workspace members may provide limited child-profile and schedule information to coordinate family plans. The adult providing that information is responsible for having authority to do so. If you believe a child submitted personal information directly without appropriate consent, contact us so we can review and delete it.

10. Your choices and rights

You can update your display name and preferences, manage family access, disconnect Google, archive eligible workspaces, and request account or workspace deletion through available SchoolSync controls. Depending on where you live, you may also have rights to access, correct, delete, or receive a copy of personal information and to object to or restrict certain processing. We may need to verify your identity and authority over a workspace before completing a request.

11. Changes to this policy

We may update this policy as SchoolSync changes. We will post the revised policy here, update the “Last updated” date, and provide an additional notice when a change materially affects how personal information is handled.
